Local files + pdfRest + self-hosted n8n

Turn incoming PDFs into PDF/X copies

Watch a local folder and create separate PDF/X copies using self-hosted n8n.

Requires configured service credentials and a pdfRest plan that supports the operations. Evaluation plans may add watermarks or text redactions.

What is n8n?

n8n connects applications, files, and APIs in visual workflows. These templates use the verified pdfRest node for PDF processing, with small configuration and routing steps where needed.

From local folder to PDF/X output

  1. Watch

React to newly added local files after writing has finished. Existing files are ignored.

  2. Read

Filter for PDF filenames and read the file from the n8n host or mounted volume.

  3. Convert

Convert to PDF/X-4 by default. Select the standard required by your printer.

  4. Save

Write a separate output with the execution ID. Preserve the original PDF.

Import and connect your workflow

START HERE

Import the template

Create a workflow in your n8n instance. Open the editor’s three-dot menu, choose Import from File, and select the downloaded JSON. Configure the template before activating it.

Install the verified node by searching pdfRest in the nodes panel. Self-hosted instance owners can also install @pdfrest/n8n-nodes-pdfrest through Settings → Community Nodes.

01

Prepare self-hosted n8n

Use self-hosted n8n. Have an administrator enable Local File Trigger if disabled and allow access to the required paths.

02

Connect your file paths

Create and mount /files/pdfrest/incoming and /files/pdfrest/output, or update the trigger and output paths together. Ensure the process can read and write them.

03

Choose your PDF service

Select pdfRest credentials. Use a private Container/AWS deployment for private processing; a Cloud credential sends the file to that Cloud endpoint.

04

Confirm print requirements

Confirm PDF/X version and print requirements with your printer before activating.

Test, review, then activate

Run representative documents through the workflow before enabling automatic processing.

Open the workflow test checklist
  • Add a finished PDF after the watcher starts; verify one PDF/X output and an unchanged source.
  • Add a non-PDF and confirm it is ignored.
  • Confirm the output folder does not trigger a second conversion.
  • Check the output with your printer’s preflight process, including page dimensions, bleed, fonts, colors, and images.
  • A corrupt or inaccessible PDF must fail visibly without a successful output.

Know what to review

PDF/X and print readiness

PDF/X conversion is one prepress step, not a guarantee of print readiness.

Filesystem access

Requires access to the self-hosted filesystem. Trigger availability and filesystem restrictions depend on the installation.

New files and repeated runs

This watches new files only, with no backlog or persistent deduplication. A replay creates a new output copy.

Sources remain intact. Files travel through n8n, the selected pdfRest deployment, and any connected services shown above. Review your execution-data retention settings before production use.
